Job Description
The Digital Asset Manager is responsible for overseeing the intake, licensing, and governance of digital tools and data assets. This role ensures compliance with privacy regulations, manages data sharing agreements, and supports the integration of digital workflows, including platform-based software and inventory management systems. The manager collaborates with cross-functional teams to implement privacy controls, streamline digital intake processes, and maintain accurate records of digital assets and licenses. 20%
Manage software license inventory and renewals, ensuring compliance with vendor agreements
20% Oversee intake processes for new digital tools and services, including risk assessments and approvals
10% Coordinate and maintain data sharing agreements with internal and external stakeholders
10% Implement and monitor privacy controls in accordance with organizational policies and legal requirements
10% Collaborate with IT and legal teams to evaluate digital tools for privacy and security compliance
10% Support the development and maintenance of ServiceNow workflows for software intake and inventory tracking
10% Maintain documentation and reporting for audits, compliance reviews, and executive reporting
5% Provide guidance on digital governance best practices and contribute to policy development
5% Ensure digital tools and services comply with accessibility standards, including Title II and WCAG 2.1

KNOWLEDGE, SKILLS AND ABILITIES Knowledge of software licensing models, digital asset lifecycle management, and vendor contract terms
Understanding of data privacy principles and compliance requirements (e.g., FERPA, GDPR, PCI)
Ability to manage intake workflows for digital tools, including risk assessments and approvals
Skill in coordinating and maintaining data sharing agreements with internal and external stakeholders
Ability to implement and monitor privacy and accessibility controls in digital systems
Proficiency in documenting and reporting for audits, compliance reviews, and executive summaries
Strong organizational and communication skills to manage multiple projects and stakeholders
Preferred Experience with ServiceNow or similar ITSM platforms for workflow and inventory tracking
Familiarity with accessibility standards such as Title II and WCAG 2.1
Experience with data analytics tools to assess digital asset usage and performance
Ability to contribute to policy development and digital governance best practices
EXPERIENCE/EDUCATION:
A typical way to obtain the knowledge and abilities would be:
Three (3) to five (5) years of progressively responsible experience in digital governance, IT asset management, or privacy compliance; Bachelors degree in Information Systems, Business Administration, Educational Technology; or a related field or an equivalent of education and experience.
Any equivalent combination of education, experience and training that provides the relevant knowledge, skills and abilities to perform the work will be considered.
CERTIFICATION & LICENSES
ITIL Foundation certification; CIPP/US (certified information privacy professional) preferred
