Company Overview:

An oil and gas company that explores for, develops, and produces natural gas and crude oil reserves in Appalachia.

Position Summary:

The Executive Assistant reports directly to the President and provides high-level administrative support to the President and auxiliary support to other officers. The Executive Assistant serves as a liaison with both internal and external parties and works closely with other executives, managers, and employees. The ideal candidate will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills. The Executive Assistant must have the ability to maintain a realistic balance among multiple priorities. The Executive Assistant consistently demonstrates a high level of professionalism in a manner that reflects positively on the organization.

The Executive Assistant will serve as an integral member of the Executive team with responsibilities including, but not limited to the following:

  • Manage all matters with a high level of confidentiality, discretion, and good judgement.
  • Organize complex calendars and schedules and resolve any scheduling issues; maintain a daily calendar of meetings and events.
  • Demonstrate excellent communication and time management skills, as well as the ability to meet deadlines; function well in a fast-paced environment.
  • Prepare Word, Excel and PowerPoint presentations, agendas, reports, and other documents both proactively and upon request.
  • Arrange travel and accommodations that take into consideration the executives' demanding schedules and travel preferences; reconcile and prepare timely and accurate expense reports.
  • Organize and manage on and off-site meetings, functions and events that may include other executives, managers, and/or employees; assemble meeting materials, ensure the appropriate space is reserved and arrange catering.
  • Attend select meetings and/or phone calls while taking notes and recording minutes; track and help drive completion of key deliverables and follow up on outstanding items.
  • Proactively research, prioritize, and follow up on incoming issues and concerns addressed to the President; determine appropriate course of action.
  • Screen incoming telephone calls and emails, take and deliver accurate messages, and respond to requests by gathering and providing information; refer non-routine calls to the appropriate
  • Serve as a liaison to other firm senior leaders and executive.
  • Prepare correspondence for internal announcements, board meetings, and other.
  • Be responsive to emails, texts, and phone calls outside of normal business hours as
  • Welcome guests of the President by greeting them in person, on video or on the phone; answer and direct inquiries.

  • Technical knowledge: Advanced proficiency in Microsoft Office (Outlook, Work, Excel, and PowerPoint).

Experience:

  • Bachelor's degree
  • 5+ years of related experience required in working in an executive assistant role supporting C-Level
  • Energy industry experience a plus.
  • Some travel may be required.
