Job Summary

We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our executive team. The ideal candidate will be responsible for supporting our CEO & SVP by handling a variety of administrative and operational tasks.

Responsibilities

  • Provide high-level administrative support to senior executives, including managing calendars, scheduling meetings, and coordinating travel arrangements
  • Serve as a primary point of contact for internal and external communications, handling inquiries, greeting visitors to the office, and directing them as appropriate
  • Prepare and edit correspondence, reports, presentations, social media posts, and other documents as required
  • Plan, coordinate, and execute meetings, and conferences, including logistics and materials
  • Monitor and manage project timelines, deliverables, and follow-up actions to ensure completion
  • Assist in the preparation of budgets, tracking expenses, and processing invoices and reimbursements
  • Conduct research, compile data, and prepare reports to assist executives in decision-making processes
  • Handle ad-hoc projects and tasks as assigned by executives
  • Assist with travel arrangements, including booking flights and accommodations
  • Maintain electronic documents
  • Support other administrative tasks as needed to ensure smooth office operations
  • Assist with Personal items as needed

Qualifications

  • Minimum of 4 years’ experience in an Executive Assistant role
  • Exceptional organizational and time management skills
  • High level of professionalism and attention to detail
  • Strong written and verbal communication and interpersonal skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to multitask and prioritize tasks effectively
  • Strong editing and proofreading skills
  • Ability to think proactively and anticipate needs
  • Flexibility to work overtime on an as-needed basis
  • Must speak, read and write English - Advanced
  • Bilingual in English & Spanish a plus
